Quick Verdict

The feature-per-dollar leader in AI meeting notetakers: auto-join capture across every major platform, AskFred AI querying, conversation intelligence, and native CRM logging from $10-19 per seat with a real free tier. But the editorial consensus is that Fireflies optimizes for the summary layer, not the transcript — independent testing shows weak speaker separation and lost reference codes, and the calendar-access, cloud-first, bot-joins-everything model makes it a privacy liability for consent-sensitive or regulated teams. Best for CRM-heavy sales and ops organizations that want an all-in-one meeting system and can accept visible bots and cloud storage; poor fit where verbatim accuracy or privacy comes first — Otter.ai is the cheaper annual seat, Fathom the free-unlimited alternative, and Gong/Chorus the coaching-grade upgrade.

Overview

Fireflies.ai is one of the most widely adopted AI meeting notetakers — the company claims usage across more than 500,000 organizations (and, in earlier marketing, over a million users) and positions itself as an all-in-one meeting system rather than a plain transcription utility. Its Notetaker bot auto-joins Zoom, Google Meet, Microsoft Teams, WebEx and 10+ other platforms to capture, transcribe, summarize, and route meeting output into CRMs, task tools, and knowledge bases. The product spans three layers: capture (bot, Chrome extension, desktop app, mobile apps, file uploads, dialer calls), intelligence (AskFred AI assistant, conversation-intelligence analytics, Deal Intelligence), and distribution (CRM auto-logging, Slack/Notion pushes, soundbites, global search, a documented GraphQL API with webhooks and MCP support). For sales teams specifically, Fireflies competes at the boundary between generic notetakers (Otter, Fathom) and sales-intelligence suites (Gong, Chorus), offering coaching-grade analytics at notetaker prices.

What it does

  • Capture. The Notetaker bot auto-joins calendar-scheduled meetings across Zoom, Google Meet, Microsoft Teams, WebEx, GoToMeeting and dialers, so calls are captured even when the host forgets to record. A Chrome extension can capture browser-based meetings without the visible bot; the desktop app captures system audio for in-person meetings; audio/video files can be uploaded in bulk; and API calls can dispatch the bot to a meeting already in progress. Recording is capped at 2 hours per meeting on Free/Pro, 3 hours on Business and 4 hours on Enterprise, with video capture at 720p (Business) and 1080p on higher tiers — video recording is not available on Free.
  • Transcribe and summarize. Transcription covers 100+ languages with automatic language detection, and Fireflies claims up to 99% accuracy for English and 95% for other languages. Every meeting produces timestamped, editable transcripts plus AI summaries with key points, decisions, action items, questions, and task detection — transcription and standard AI summaries are unlimited on all plans and are not metered in AI credits.
  • Analyze. On Business and above, conversation intelligence tracks speaker talk-time, monologue length, words per minute, sentiment and keyword/topic trackers, with admin-level Team Insights consolidated across the team and filterable by member or date range. Business also adds Deal Intelligence — sales-specific deal signals, pipeline insights, and coaching metrics extracted from recorded calls — which is the feature set that pushes Fireflies into revenue-intelligence territory.
  • Distribute. Meeting notes, summaries, and transcript links auto-log into HubSpot, Salesforce, Pipedrive, Zoho and other CRMs; action items become tasks in Asana, Trello, ClickUp, Jira or HubSpot; summaries and soundbites flow into Slack, Notion, and 100+ other apps, plus Zapier and Make for anything else.

AskFred and the AI layer

AskFred is Fireflies' AI meeting assistant — the company describes it as "like ChatGPT, but specifically designed for meetings." You can ask natural-language questions about a single meeting ("what were the blockers?", "what did the customer say about budget?") or query across the whole archive with filters, generate follow-up emails and LinkedIn posts from meeting content, and use built-in AI Skills such as BANT, MEDDIC, and 1:1 summaries. Pricing of AskFred is nuanced: within a processed meeting's Notepad it is free for paid (Pro+) users, but AskFred in Live Assist, Sales Assist, and the global Home dashboard consumes AI credits dynamically — charged per query based on the complexity of the output. Free users get 20 one-time AI credits at signup and then hit a paywall.

Beyond AskFred, the AI layer has grown into a bundle: AI Skills generate customized notes from 100+ templates; the Personal Assistant packages a Daily Digest, Meeting Prep briefs, and task tracking; Voice Agents run AI-powered screening interviews, discovery calls, and check-ins; Live Assist / Sales Assist delivers real-time coaching prompts during calls; and Magic & keyword soundbites automatically clip key moments. Magic soundbites, custom summary sections, Voice Agents, CRM autofill, and the Slack Assistant all consume AI credits, while template-based summaries and reprocessing are free.

Pricing and the AI-credit metering model

Fireflies has four per-seat plans: Free ($0), Pro ($10/seat/month billed annually, $18 monthly), Business ($19/seat/month annual, $29 monthly — the "Most Popular" tier), and Enterprise ($39/seat/month, annual only, with volume discounts). All paid tiers include unlimited transcription, unlimited AI summaries, and unlimited integrations; Pro adds video recording, downloads, 8,000 minutes of storage per seat (vs a shared 400-minute team pool on Free), AI Skills, the Personal Assistant, and individual conversation intelligence. Business removes the storage cap, adds multi-language mode, team-level conversation intelligence, Deal Intelligence, private channels, admin controls, and the 3-hour recording cap.

The thing to model carefully is AI credits. Every account includes a one-time team-pooled allotment (20 Free/Pro, 30 Business, 50 Enterprise — they do not stack or scale with seats) that funds advanced AI features. Additional credits are sold as packs (50 credits $5/month up to 10,000 credits $600/month, ~20% cheaper on annual billing), auto-renew every cycle, and do not roll over. Fireflies also offers a 7-day AI-credits trial and a one-time 100-credit bonus for creating your first Voice Agent. Because credits are shared per team and consumed dynamically, costs for credit-heavy teams (CRM autofill, Live Assist, Voice Agents) can exceed the seat price itself.

Integrations and developer platform

Fireflies advertises 100+ integrations. The HubSpot integration is representative of the CRM depth: it auto-creates contacts/leads from meeting participants, logs notes, summaries and a transcript link to contacts, deals, and companies, converts action items into HubSpot tasks, transcribes HubSpot Dialer calls, and adds Fireflies App Cards (recent meetings, soundbites) to contact views. Note that the full transcript itself stays in Fireflies — the CRM receives a link — and Business/Enterprise admins get granular integration permissions to control what syncs workspace-wide.

For developers, Fireflies exposes a GraphQL API at api.fireflies.ai (transcripts, summaries, action items, users, channels), webhooks with optional signing for transcription/summary/notetaker events, file transcription endpoints, and an MCP server that connects Claude, Cursor, and other AI assistants directly to meeting data. API rate limits scale by plan, from 30 requests/min and 500/day on Free to pooled limits of roughly 1,200–2,400 requests/min on paid seats.

Security and compliance

Fireflies markets an enterprise-grade security posture: SOC 2 Type II certification, GDPR compliance, ISO 42001 certification for responsible AI governance, 256-bit AES encryption at rest and TLS in transit, a zero-data-retention policy with vendors and partners, and an explicit commitment that customer meeting data is never used for AI model training. HIPAA and FERPA BAAs are available on Enterprise with Private Storage — dedicated, optionally customer-bucket storage in a location of your choice — alongside a Rules Engine for admin control over meeting access and privacy, Super Admin access, SSO/SCIM, and custom data retention. Below Enterprise, the platform remains cloud-first with no local/on-device processing.

Teams and workflow fit

For sales organizations, the core loop is: Fireflies captures every call, auto-logs structured notes and action items to the CRM with zero rep effort, then surfaces coaching metrics (talk-time ratios, sentiment trends, objection topic trackers) for managers. Recruiters use Voice Agents and interview transcription; customer-success teams use global search and soundbites to build a queryable knowledge base; agencies use Fireflies Talk (free unlimited dictation) and multi-language mode for international client work.

Strengths & Limitations

Strengths

  • ✓ Very wide feature set for the price — auto-join capture, transcription, summaries, AskFred assistant, conversation intelligence, and CRM sync in one product
  • ✓ Genuinely usable free tier with unlimited transcription of recorded meetings and desktop/mobile/extension capture
  • ✓ Broadest platform and language coverage in the category (10+ meeting platforms, 100+ languages)
  • ✓ Native CRM auto-logging (HubSpot, Salesforce) plus 40+ app integrations, Zapier and a real REST API with documented rate limits
  • ✓ Conversation intelligence (talk-time, sentiment, topic trackers) that competitors reserve for pricier sales-specific tools
  • ✓ Enterprise-grade security ladder: SOC 2 Type II, GDPR, HIPAA option, SSO/SCIM, audit logs, custom retention
  • ✓ Fireflies Talk adds free unlimited dictation beyond meeting capture
  • ✓ Global search + soundbites turn the meeting backlog into a queryable knowledge base

Limitations

  • ✗ Raw transcript accuracy lags the category — the product optimizes for summaries and action items over verbatim fidelity
  • ✗ Privacy posture: calendar-access sign-in and unsolicited bot joins make it a poor fit for consent-sensitive calls and regulated industries without careful policy (HIPAA only on Enterprise)
  • ✗ Confusing metering: AI credits, shared free storage, transcript counts and auto-subscribed credit packs interact in ways that are hard to predict
  • ✗ Meeting-length caps (2-4 hours) cut off long workshops and trainings
  • ✗ The visible bot participant puts some prospects and clients off
  • ✗ Occasional bot join failures mean some important calls slip through uncaptured
  • ✗ Most valuable sales features (conversation intelligence, CRM notes, private channels) sit on Business, nearly doubling per-seat cost

Integrations

Zoom Google Meet Microsoft Teams WebEx GoToMeeting Skype HubSpot Salesforce Pipedrive Slack Notion Asana Trello ClickUp Zoho CRM Airtable Google Calendar Outlook Calendar Gmail Outlook Zapier Make REST API Dialers (RingCentral, Aircall, etc.)

Use Cases

  • Auto-log every sales call transcript and summary into HubSpot/Salesforce with zero rep effort, then coach reps with talk-time and sentiment analytics
  • Query the AskFred assistant across the whole meeting archive ('what did the customer say about pricing?', 'list my action items') instead of re-watching recordings
  • Turn customer discovery and customer-success calls into a searchable team knowledge base with global search, soundbites and public meeting links
  • Auto-generate action items and push them to Asana/Trello/Slack so decisions from standups and client calls actually get executed
  • Record and transcribe interviews and multi-language client calls for recruiting and international teams

Who Should Use Fireflies.ai?

Best for

  • ✓Sales teams that want every call auto-logged to the CRM with conversation-intelligence coaching metrics
  • ✓Teams running back-to-back meetings who need searchable transcripts, summaries and action items without manual note-taking
  • ✓Organizations that want one meeting system across Zoom, Meet, Teams and dialers with 100+ language support
  • ✓Individuals and small teams who want a genuinely usable free tier before committing budget

Not ideal for

  • —Privacy-first, EU, or consent-sensitive/regulated workflows that need local-only or on-device capture (cloud-first design, bot requires calendar access to sign in)
  • —Teams that need highly accurate raw transcripts for legal or compliance-grade record-keeping — third-party testing reports speaker-labeling errors and mangled references; Fireflies leans on summaries rather than verbatim fidelity
  • —Anyone who wants a fully silent in-call notetaker — the bot joins as a visible named participant
  • —Meetings longer than the plan cap (2 hours on Free/Pro, 3 on Business, 4 on Enterprise)
